Job Details
The Client Service Associate enhances the client experience by providing exceptional client service, supporting Financial Advisors and Associate Financial Planners, assisting in safeguarding client assets, and serving as administrative and operational support. The Client Service Associate is responsible for understanding firm policies and procedures that will allow them to interact with Financial Advisors, Associate Financial Planners, and support staff, as well as, new and existing clients.
DUTIES and RESPONSIBILITIES
This is a great opportunity for a talented individual who desires a team-based, fast-paced, professional environment. The Client Service Associate will be responsible for administrative and technical support including, but not limited to:
- Onboard new client accounts, which includes the collection of required documentation and client information
- Enhancing the client experience by helping the lead advisors prepare client review meetings and assisting in any follow-up items needed
- Maintain existing client relationships through the processing of client requests and making sure key client information and documentation is up to date
- Perform administrative duties that support daily business practices including electronic file organization and maintenance, completing paperwork to establish new accounts, close accounts, transfer accounts, change account setting/preferences
- Create reports using Morningstar® and other research resources
- Actively engage in available training and education programs to maintain current status on policies, procedures, and risk awareness
- Gathering and inputting client data into planning software and organizing financial documents; Follow-up with clients to confirm data for financial plans;
- Periodically communicate with clients to review client records including risk profile, ensure our client relationship management system is up-to-date, and determine any follow-up from AFP or FA
- Manage the processing of all insurance applications for clients and update the AFP’s and FA’s
- Make recommendations to systematize and improve office functioning
- Learn and leverage our internal database to access our broker-dealer, Commonwealth’s, tools, and resources
- Maintain electronic and paper files, including archiving files as needed
- Stay current on industry developments, including service and product enhancements, as well as technology updates; communicate changes to AFP & FA’s as appropriate
- Track pending paperwork; update pending business summary sheet for advisor’s attention when documents are outstanding; track and tally all outstanding work weekly
Qualifications
EDUCATION, EXPERIENCE, KNOWLEDGE, and SKILLS:
Education and/or Experience
- Industry experience is a plus
- B.A. or B.S. in finance, economics, or business is preferred
- Graduate degree or designations (MBA, CFP, RP, etc.) is a plus
- A minimum of two years of experience in the wealth management industry is preferred, but not necessary
- Knowledge of financial planning concepts and terminology, products including mutual funds, stocks, bonds, and insurance policies
Knowledge/Skills
- Strong computer skills and knowledge of Microsoft Office products
- Exceptional interpersonal and client service skills
- Detail orientated with superior organizational skills
- Team player with the ability to collaborate with others
- Ability to work in a fast-paced, evolving environment
- Proficiency with DocuSign, a plus
- Outstanding written communication, phone skills, and time-management
- Ability to quickly learn new software programs
- Passionately committed to helping others
