General Function

Under supervision, provides a variety of administrative and programmatic tasks to support the Center for Financial Planning.

Essential Functions:

  • Proactively ensures the Managing Director, Center for Financial Planning is properly supported and prepared for all internal and external meetings and appointments
  • Performs a wide range of administrative support tasks including maintaining and updating contacts; taking minutes; developing presentations, scheduling and preparing for meetings and conferences 
  • Performs extensive calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of meetings, conferences and calls 
  • Makes travel arrangements, prepares accurate and detailed itineraries
  • Supports the governance functions of the Center including coordinating and assisting in the preparation of Advisory Council and Advisory/ Working Group meetings
  • Manages all components of Advisory Group meetings (budget, venue, logistics, and volunteer travel, expenses and accommodations)
  • Serves as a liaison and primary contact between Advisory Groups and the Center team
  • Coordinates and supports compilation of Center accomplishments for an annual report, board reports (including CEO Oversight Committee) and all other reporting obligations of the Center (e.g. major funders, stakeholders, etc.)
  • In consultation with Center Team, designs and develops Center communications documents (presentations, infographics, illustrations, etc.) in support of the Center’s programmatic and fundraising initiatives
  • Manages and maintains Center filing system, retaining all contracts and key operation documents
  • Provides training and support to temporary and part-time administrative staff
  • Performs other duties as assigned
