Summary of responsibilities:
This position will assist the Operations Team to enhance the clients’ experience with our firm. You must be passionately committed to service and caring for others while handling multiple projects simultaneously. Time management is critical to ensure all responsibilities are executed within established deadlines. It will be important to both follow direction and know when to take the ball and run with it.
Primary responsibilities:
- Answer phones, transfer calls, and check voicemails
- Greet clients and guests to the office and conference room
- Ensure all paperwork is correct and tracked to completion
- Help keep contact management system (CRM) up to date and accurate
- Update and maintain the office Procedure Manual and network Shared Drive
- Create client contact and meeting reports
- Schedule meeting and send reminders to clients
- Process client investment deposits and redemptions at the request of the Financial Advisors and Sales Team
- Execute Firm procedures and collaborate with the Operations Teams
- Assist with all Non-Client facing operations tasks and firm initiatives
- Troubleshoot solutions to problems
- Order supplies
- Facilitate new client onboarding
- Assist staff with various day-to-day activities
- Calendar management for team members
Qualifications/Requirements/Knowledge/Skills:
- 2+ years’ experience in administrative or customer service role, financial services industry preferred
- BS/BA in finance or business administration preferred
- Team player who enjoys working with others and has a servant mindset and positive attitude
- Pleasant and client centric attitude
- High attention to detail
- Demonstrated ability to multi task and meet deadlines
- Superior organizational skills
- Sufficient patience to do repetitive work correctly
- Proficiency in MS Outlook Suite and an ability to learn new software applications
