General Functions

A non-exempt position that provides administrative support to the Managing Director of Corporate Relations and Head of Research.

•  Consistently lives and models the organization's core values

•  Both the Managing Director of Corporate Relations and Head of Research can function efficiently and effectively in performing their role for the organization. 

•  Anticipates Managing Director of Corporate Relations and Head of Research practices’ needs and provides answers, solutions and options to ensure those needs are met. 

•  Responds to the assignment of tasks and projects with an appropriate sense of urgency, grace and professionalism.   

•  Anyone who interacts with the Managing Director of Corporate Relations and Head of Research offices (e.g. Board members, staff, certificants, the public, regulators, volunteers, etc.) feels heard, respected and confident in the answers or next steps provided. 

•  Communications are highly professional and utmost confidentiality is maintained at all times.

 

Essential Functions

•  Performs a wide range of administrative support tasks in support of the work of the Managing Director of Corporate Relations and Head of Research, including creating and maintaining filing systems, answering incoming calls, and monitoring email boxes and responding to emails. 

•  Prepares correspondence including letters, agendas, itineraries and reports at the direction of the Managing Director of Corporate Relations and Head of Research.    

•  Assists the Managing Director of Corporate Relations and Head of Research with managing department budgets, including coding and submitting invoices in a timely fashion and tracking expenses.  

•  Reviews, proofreads and edits documents prepared for the Managing Director of Corporate Relations and Head of Research signature. Ensures that acceptable format is followed. 

•  Coordinates and facilitates the Managing Director of Corporate Relations and Head of Research calendars to arrange appointments and meetings; gathers appropriate data as required and reschedules existing appointments as deemed appropriate; maintains the departmental calendar.

•  On behalf of the Managing Director of Corporate Relations and Head of Research, makes travel arrangements, prepares accurate and detailed itineraries and prepares, compiles and submits travel vouchers and expenses in accordance with the organization’s reimbursement policies and application.

•  Assists with the compilation, proof reading, duplication and mailing of briefing books.

•  Anticipates Managing Director of Corporate Relations and Head of Research’s needs and provides answers, solutions and options to ensure those needs are met. 

•  Coordinates mass mailings; works with email distribution service and survey data entry.

•  Develops PowerPoint presentations and other meeting collateral.

•  Takes minutes at meetings.

•  Other job related duties as assigned or necessary.

 

Background/Skills/Abilities Preferred

  • Bachelor's degree
  • 2 or more years’ experience in an office setting
  • Intermediate level Microsoft office Suite (Word, Excel, PowerPoint) skills
  • Familiarity with SalesForce, preferred
  • Strong multitasking and prioritization skills.
  • Strong travel and logistical planning skills.  
  • Exceptional organization and verbal and written communication skills.  
  • Possesses excellent attention to detail in composing and proofing written correspondence and materials.  
  • Advanced knowledge of Excel spreadsheets and PowerPoint.   
  • Ability to meet deadlines.  
  • Ability to work independently within approved guidelines and protocols.
  • Ability to research and interpret material and present results in consolidated reports and graphs.
  • Effective intra-office and external communications skills and professional demeanor.  

This position is based in the Washington D.C. office and works a hybrid schedule which could be changed at any time.
