Job Details

On a day-to-day basis, the Client Services Manager is the primary point of contact for client service requests and is responsible for overseeing any account-related service requests. They will create and manage their technology-based workflows to improve firm efficiencies and accuracy. They are a confident individual who thrives in a dynamic environment and can multi-task various client requests and projects at the same time. Above all else, this individual must have a deep concern for other people’s well-being, high attention to detail, and superior communication skills.

  • Interact daily with clients, process client requests, and new client paperwork, and answer client inquiries promptly
  • Proactively communicate with clients regularly through a range of communication methods
  • Continually manage and implement operational workflows
  • Discuss and organize follow-up steps with the sales team after client meetings
  • Prepare client engagement agreements, investment applications, transfer paperwork, and account service-related forms
  • Provide regular updates to clients regarding their service and account requests
  • Coordinate account transfers
  • Execute equity, fixed income, mutual fund, and variable annuity transactions under the direction of the sales team
  • Monitor client account activity
  • Verify cash balances for systematic withdrawal programs
  • Manage all client service details in CRM
  • Populate and maintain accurate client data in client relationship management databases and reporting systems
  • Oversee firm compliance with SEC and FINRA regulations

Required Skills and Experience:

  • Extremely high attention to detail; meticulous and precise in nature
  • Very organized with thoughts and processes
  • Articulate with excellent client service skills and the ability to establish a rapport with clients
  • High follow-through abilities are imperative
  • Professional attire and appearance at all times
  • Maintain a clean workspace in preparation for client-facing interactions at a moment's notice
  • The ability to remain responsive and accurate despite various interruptions.
  • Polite to a fault and open to feedback and improvement
  • Ability to function well in a fast-paced, changing, and developing environment
  • Previous client service and operations experience
  • Strong understanding of brokerage/advisory regulations and rules that govern client accounts
  • Demonstrated experience handling client concerns and issues with tact and diplomacy
  • Ability to work independently and effectively as part of a team
  • Ability to manage multiple client situations, needs, and inquiries simultaneously
  • Ability to communicate with co-workers, clients, and various business contacts in a courteous and professional manner
  • Ability to investigate, research, and resolve problems or concerns
  • Ability to maintain confidentiality
  • Ability to take complete and accurate notes
  • Excellent communication (oral and written), interpersonal, and organizational skills
  • Proficient in the Microsoft Office Suite
  • Experience with financial planning/management software (MoneyGuide Pro, Redtail, NetX 360)
  • Series 7, 65 licenses or the ability to obtain immediately upon employment
  • Minimum 7 years of relevant financial services experience
  • Bachelor’s Degree
  • CFP (a plus)
  • Exposure to EOS (a plus)
