The position of Client Service Specialist will have constant contact with clients both in the office and on the phone. Professionalism and excellent communication skills is required. All tasks performed will be completed accurately, delivered with high quality and completed in a timely manner. Extensive work experience with a Registered Investment Advisory firm and familiarity with Charles Schwab as a custodian is preferred.

This position is comprised of two main areas.  The following is a partial list of duties:

Client Service/Administrative Responsibilities (90% of time)

  • Provides client service for all clients
  • Client contact – incoming phone calls and emails
  • Process client requests
  • Maintain and manage client records and templates in RedTail (CRM)
  • Account trading
  • Account opening and paperwork preparation
  • Transfers/rollovers and distributions
  • Annual client credit checks
  • Check deposit
  • RMD calculations
  • Assist and backup for Operations Manager
  • Backup for incoming phone calls and front desk
  • Client Account Aggregation
  • Savings Bond analysis
  • Banking services support
  • Online account access support

Bond&Devick Reporting (10% of time)

  • Responsible for reporting requests from Advisors and Operations Manager
  • Morningstar Reports
  • Annual client reports: Segmentation review/RMD completion


  • One to three years’ experience in the financial services industry, a fee-based Registered Investment Advisory firm is preferred and familiarity with Charles Schwab as a custodian is ideal
  • Exceptional oral and written communication skills

  • Proficient with Windows based software, including MS Word and Excel
  • Knowledge of portfolio management, Morningstar Advisor Workstation, client reporting service (Black Diamond preferred), CRM software (Redtail a plus)
